Throughout this Policy, the terms “we”, “us”, and “our” refer collectively to both entities. go-liberty Pty Ltd is the Australian-registered holding company and is ultimately responsible. Boarding School Software (Pty) Ltd is the South African-registered operating entity that delivers the Platform.

Scope — Two Different Surfaces
We operate two distinct digital surfaces, and each uses cookies differently. Please read the section that applies to you:
Section 2 — Our Marketing Website at boardingschoolsoftware.com and subdomains (excluding the Platform). Used for marketing, information, and demo bookings.
Section 3 — Our Platform (Application) at app.boardingschoolsoftware.com. The actual software used by schools, staff, students, and parents.

On the Platform, we use only the cookies necessary to deliver the software service. We do not use the Platform to track users, serve advertising, or collect data for purposes unrelated to providing the service.

3.2 Intercom — In-App Support Chat
We use Intercom to provide in-app support chat. When you use the Platform, Intercom may set cookies or use similar technologies to:
Enable the support chat widget within the Platform.
Identify you as a logged-in user so our support team can respond to your queries in context.
Retain your chat history with our team across sessions.
Intercom processes limited personal data (such as your name, email address, Institution, and the content of support conversations) as a subprocessor on our behalf. Intercom is contractually bound to process this data only in accordance with our instructions and applicable privacy laws.

3.3 What We Do Not Use on the Platform
To be clear, on the Platform we do not use:
Google Analytics, Meta Pixel, or any other third-party analytics or advertising cookies.
Advertising, retargeting, or marketing tracking of any kind.
Cross-site tracking tools.
Session-recording or heatmap tools (e.g., Hotjar).
Because Platform cookies are essential to deliver the service, they cannot be disabled without breaking the software. This is standard for school information systems and is permitted under GDPR, POPIA, and comparable privacy laws as they support the legitimate performance of the contract between you and us.
4. Cookies and Children
The Platform is used by educational institutions, some of whose users are minors. We take particular care not to deploy any tracking technologies that would profile, target, or commercialise data related to children.
